Making the Case for Direct Mail Power in Multi-channel Marketing

As our multi-channel marketing clients polish their 2018 marketing plans, it’s a good time to remind them of the continued value of direct mail in this digital era. A recent infographic from direct marketing agency US Presort puts together data from The Data & Marketing Association (DMA), Social Media Examiner, Epsilon, Experian and Marketing Sherpa to make the case for a direct mail commitment.

Why Connect Digital & Direct Mail?

The majority of marketers (71%) say they believe in an integrated multi-channel approach. After all, a smart multi-channel strategy can combine the pervasive impact of digital (96% of consumers say they were influenced online in making a purchase decision) with the effectiveness of direct mail (digital can’t beat mail’s 80% open rate or its consumer trust rating  of 76% compared with 61% for Google search, 43% for social and 39% for online ads). And marketers who combine direct mail and e-mail in a single integrated campaign report better results than when running standalone efforts, with overall response increasing by 35% or more. So why are so few marketers (just 29%) actually implementing those integrated multi-channel campaigns?

Addressing Direct Mail Myths

Lingering misconceptions may cause some marketers to hesitate over integrating direct mail with digital. As the infographic points out, direct mail has a high perceived cost. Yet while direct mail costs more to produce and distribute, its response rates are also much higher than other channels, so its ROI remains competitive. For example, per the DMA’s 2016 data, direct mail response rates averaged 5.3% for house lists and 2.9% for prospect lists, compared with online display ads at 0.9%, e-mail at 0.6% for house files and 0.3% for prospects, social media with 0.6%, and paid search at 0.5%. As a result, median ROI for direct mail, while behind e-mail, is on par with social media at 29% and 30%, respectively, and ahead of other digital channels such as mobile, search and online ads. Others assume difficulties in connecting and tracking combined paper and digital promotions. But technology and U.S. Postal Service discounts are making direct mail easier and cheaper to integrate with digital via mobile device-scanned coupon links, QR codes, PURLs (Personalized URLs), and landing pages. Plus, direct mail is now much easier to track in real time thanks to the U.S. Postal Service Intelligent Mail Barcode that lets marketers follow every single piece from the postal DSCF unit to the prospect’s door.

Making Direct Mail Part of a Multi-channel Solution

Successfully leveraging the power of direct mail in a multi-channel strategy requires a few key steps. As suggested in the infographic, include the USPS Intelligent Mail Barcode on all mail to track delivery and coordinate with other channels, and then gather measurable response from multiple channels via tactics such as reply cards, 800-number call tracking, as well as mobile-scanned QR codes and PURLs. Create campaign-specific landing pages and make sure they are mobile-friendly. Integrate e-mail and direct mail messaging and lists, and coordinate e-mail blasts with mail delivery; plus create Facebook ad campaigns to target the same audience as your direct mail lists (see our Digital2Direct programs). Finally, consider IP Direct Mail or Web Direct Mail to target the same mail audience on Google with coordinated ad banners.

Power Up Holiday E-mail With Segmentation, Offers

AccuList USA’s e-mail list clients, especially those in e-commerce and multi-channel retailing, are beginning their holiday e-mail campaigns. What strategies will make for optimum results?

Segment to Maximize Response, Order Value

From decades as data brokers and e-mail support providers, we can attest that targeting and smart segmentation are essential to holiday e-mail success. Of course, the house list can single out the active buyers and segment by basics such as location (no ice to Eskimos) and gender. But more sophisticated segmentation looks at purchase history in terms of product interest, in-store vs. web store, abandoned carts, purchase frequency, etc. For example, to maximize customer value, you can segment by average purchase (separating high-priced buyers from discount buyers) and send targeted e-mails with offers slightly over average order value. You can also reward and stimulate more sales from the most loyal buyers, segmented by purchase frequency or referrals etc., by e-mailing them unique holiday specials and freebies. The holiday season is also a great time to revive inactive customers, such as the previous year’s holiday buyers who haven’t been active since. Send them special offers to woo them back to the brand. Prior-holiday gift card buyers are a good sub-segment for a reminder e-mail about this convenient option. You can also target the most recent opt-ins who haven’t converted to buyers with offers and creative most likely inspire clicks. And don’t neglect to match your e-mail list to Facebook, YouTube or third-party newsletters to extend your reach via those vehicles! Although rented e-mail lists will not have the same intimate customer knowledge, you can still select by location, gender, age, product interest, and more.

Get Creative With Holiday Offers

Holiday e-mails have to grab attention in crowded inboxes, and that means you need to get creative with offers that drive opens and clicks. Constant Contact recently surveyed its small business clients and gathered 30 successful holiday e-mail ideas that may help inspire your marketing. Here are just the lucky top seven: a holiday preview sale, a campaign to drive traffic to your Cyber Monday specials, a free shipping offer, a gift card or gift certificate bonus offer, a holiday gift guide, the tried-and-true holiday coupon, a holiday sample sale (good for food and drink retail). Optimize Timing of Year-End Fundraising E-mails

At the end of each year, many AccuList USA’s nonprofit clients send out their big fundraising e-mail campaigns, and each year questions of optimal timing are debated. Research results from Next After, a nonprofit consultancy and research lab, may offer helpful guidance.

December Offers Fundraising Opportunity

A big problem for year-end donor appeals is the fight for attention amid the seasonal commercial e-mail blitz that jams inboxes. So how can a donor appeal stand out? Timing is everything to avoid getting lost in the clutter. Many nonprofits focus on the Giving Tuesday opportunity, and 23% more e-mails are sent on Giving Tuesday than on Dec. 31, per Next After–yet 48.7% of nonprofit revenue comes in the last week of the year, Dec. 25-31. And 20% comes just on New Year’s Eve. In fact, 581% more average additional revenue is generated on Dec. 31 than on Giving Tuesday. No wonder Next After suggests focusing on that final December week. Another sign of a missed opportunity: Despite December’s donor haul, 22% of nonprofits studied send no e-mails in December, and most send about four e-mails. So experts advise dialing up the volume in the lucrative December time period!

Day-of-the-Week and Time-of-Day Matter

E-mailers who choose to send messages in the Tuesday through Friday period and blast between 7 a.m. and noon will wade through the heaviest e-mail volumes, per the research. So off-peak e-mail delivery–such as afternoon or evening–can help avoid the seasonal e-mail rush. And weekends clearly represent a neglected opportunity: Not only is overall e-mail volume lighter, but Next After notes a 50% higher gift amount on weekends.

Always Be Testing: Even the Best Mail Control Gets Tired

AccuList USA’s successful direct mail marketers seek to optimize response by constantly testing creative (as well as lists), because they know that even the best control package can lose its punch and need refurbishing or replacing.

Understanding the Sources of Control Success and Fatigue

Since direct mail testing can be expensive, especially multivariate testing where each variable tested needs a large enough mailed group for statistically valid results, it is important to think through why response to a proven control can flag and what changes are worth testing. A recent Target Marketing magazine article, by direct marketing consultant Gary Hennerberg, addresses the issue by reminding marketers of basics: The control has succeeded better than other mailing packages because, using the right list, the marketer has matched the offer’s emotional hot buttons and unique selling proposition to the prospects’ awareness of both their problem and the marketer’s solution at the time. But that alignment between prospect and promotion is not static.

As Brand Awareness Grows, Control Effectiveness Can Shrink

After mailing the same direct mail control package over and over (or using the same digital message), the majority of targeted prospects have either seen your pitch or been educated by other media, so your message may no longer fit with their knowledge and needs. “If you don’t stay on top of this changing awareness and understanding, your direct mail control package, or messaging in other channels, fatigues, and you’ll wonder why,” Hennerberg warns. He suggests that marketers commit to a program 1) assessing prospect awareness of the problem solved by the marketed product or service; 2) creating multiple creative approaches that align with different prospect awareness levels; and 3) testing creatives (headlines, leads, formats, etc.) against each other and the control to find the sweet spot. An important caveat: If a mail package seems to go over the heads of the current market, consider re-testing in future when the time may be ripe in terms of prospect interest.

Seeking E-mail Response, Marketers Face Text vs. HTML Choice

There’s an ongoing debate in e-mail marketing over which format option will optimize results: simple text-based e-mails or fancier html versions. For our e-mail list and marketing clients, AccuList USA offers some surprise findings on that point: Marketo reports that a recent analysis of e-mail effectiveness shows text-based e-mails perform significantly better than their more creative HTML counterparts. Although both formats have the same open rate, text-based e-mails have 21% higher unique click-to-open rates on the offer link and 17% higher unique click-through rates on the offer link, according to the Marketo study.

So should marketers dump their rich html creatives? Not so fast.

Text E-mail Is Personal & CTA-Focused, But…

Why did the text-based versions win more response? The Marketo study found that text-based e-mails’ fewer visual distractions focus response on the call-to-action link. In HTML versions, nearly 16% of clicks went to other links (such as logos) instead of the main call-to-action link, per Marketo. Other research shows that text e-mails are also viewed as more personal by recipients, who see the visually rich html e-mails as clearly commercial. Finally, text-based versions have a better chance of delivery since the messages are less likely to be caught in spam filters or to have mobile viewing issues. But there are clear disadvantages, too. The key drawback of plain text formats, with no html, is that there is no tracking of open rates or clicks. Plus, URLs included in the message must be fully typed out, which can create visual clutter. Text-based e-mails without any html design elements will lack engaging visual impact for branding or product promotion, will have less ability to break information into easy-to-read/scan sections or columns, and will have few tools, such as buttons and color, for directing CTA attention.

Marketers Still Like HTML Tracking & Branding

Despite general response findings, html e-mails continue to be used because of advantages that make them the right choice for campaigns relying on branding, richer messaging and detailed metrics. For example, html allows incorporation of branded images and logos that may yield higher conversion rates for some verticals. An html e-mail also can package more information in digestible, easy-to-read bites. It can direct action via color, clickable text and buttons. Most important, html offers tracking of opens and clicks for marketing metrics.

Use Digital Donation to Turbocharge Fundraising Direct Mail

AccuList USA would like to pass along some key facts to marketers planning fundraising direct mail: 1) 35% of all donors say they like to respond to direct mail by giving online (with 50% of Millennials and Gen Xers saying they prefer online response); 2) 51% of website visits are made via mobile device, and 3) mobile devices are now used by the majority to read e-mail (54% of opens) and access social networks (80% of social time spent). Bottom line, if you want to get the most from your nonprofit direct mail (still the best channel for capturing donor dollars), a multi-channel, mobile-optimized approach is essential.

How Nonprofits Miss Mail-to-Online Giving Opportunities

MobileCause has developed a powerful infographic laying out the case for a nonprofit direct mail-digital marriage. Unfortunately, many fundraisers fail to make an easy connection between direct mail and online response, and are discouraging donations as a result. As the infographic points out, 84% of donation pages are not mobile-friendly, 73% of nonprofits do not offer social sharing, and 65% of nonprofits require three or more digital clicks to donate.

Smart Practices Give Mail Multi-Channel Power

At the same time, the infographic data highlight ways to correct that digital lacuna in fundraising direct mail. First, commit to making direct mail part of a multi-channel campaign–because donors are 50% more likely to give when they receive multiple reinforcing messages via multiple channels. Fundraisers can even optimize response by catering to generational preferences: Millennials like text reminders, Gen Xers like e-mail reminders and Boomers like call reminders, per MobileCause. But for goodness sake, mobile-optimize e-mails, landing pages and donation pages! Then maximize donations by promoting QR codes, shortlinks and texting keywords across channels (and let the U.S. Postal Service reward that mailer QR code with a discount). Plus, data shows that by branding landing/donation pages to promote a specific mailer campaign or gift rather than a generic message, there’s a 38% increase in donation amount and a 66% likelihood that the donor will return and give again. Of course, don’t forget the basics: Make the call-to-action clear and giving easy to execute, whether by check or online.

Why Direct Mail Remains Buoyant in Digital Flood

In the tidal wave of digital marketing options, prospects for our direct mail lists and support services sometimes worry about investing in an “old-fashioned” mail channel soon to be washed away by changing preferences and digital efficiency. So we like to keep providing data to show that direct mail is actually riding atop the digital crest.

Businesses Have Solid Reasons to Direct Mail Today

For example, a recent business.com post by entrepreneur Brian Roberts cites five basic reasons businesses should use “snail mail.” No. 1, thanks to a drop in mail volumes, mailers today enjoy much less competition for audience attention in physical mailboxes compared with spam-jammed e-mail inboxes or ad-laden web platforms. Plus, No. 2, those mailed communications aren’t going to be culled out by high-tech spam filters as is so much of today’s e-mail. No. 3, once delivered, a physical mail piece is a lot likelier to be opened than an e-mail message. As data firm Experian recently reported, 70% to 80% of direct mail recipients say they open their mail, and, per InfoTrends’ most recent data, a third of U.S. consumers report they read direct mail marketing more than e-mail marketing, and another 34% read both with equal frequency.  No. 4, direct mail allows a lot more creative freedom, unlimited by file size, spam filter triggers or flat visuals. Mail can be dimensional, digitally interactive, multi-sensory, immediately gratifying with promotional rewards, and more. Now that personalization is key, direct mail also outdoes digital, with 70% of Americans saying physical mail is “more personal” than e-mail, per Experian. Finally, at  No. 5, mail is great for geo-targeting and driving traffic to physical locations, with in-store-only promotions at retail stores as an example. Plus, it can drive digital traffic; 60% of direct mail recipients visit a website mentioned in direct mail, Experian reports.

Trends Prove Direct Mail’s Continued Business Appeal

A study by the Boston Consulting Group confirms that total spending on direct mail is expected to rise from 11% to 12% by 2020. The simple reason for snail mail’s survival is its continued marketing power. U.S. Postal Service surveys have found that consumers who receive direct mail spend 28% more than those who don’t, for example. As we’ve noted before, the Data & Marketing Association’s 2016 “Response Rate Report” put direct mail response rates at 5.3% for house lists and 2.9% for prospect lists, the highest DMA-tracked response rates since 2003, and far higher than the less than 1% of various digital channels. How Direct Mail Retains Its Place in Marketing Tool Chests

Direct mail, perhaps because of its proven workhorse status, keeps a low profile in marketing trend articles, except for the periodic “direct mail isn’t dead” reminder. Yet, despite growing use of digital channels–web, e-mail, social, mobile–AccuList USA and its many mailing list and direct marketing clients join the majority of marketers in continuing to rely on direct mail. Why? Marketing data backs up direct mail’s proven response power and ROI.

Data Proves Mail’s Staying Power

In fact, Target Marketing magazine’s latest study “Marketing Mix Trends 2010-2016” shows that 69% of marketers surveyed either increased or held steady on direct mail spending in 2016. The 6% of marketers decreasing their mail budgets were the smallest group since 2010. A reason for direct mail’s survival as a go-to marketing channel can be seen in the the Data & Marketing Association’s 2016 “Response Rate Report.”  The report showed 2016 direct mail response rates leaping to 5.3% for house lists and 2.9% for prospect lists, the highest DMA-tracked response rates since 2003. By comparison, 2015’s reported rates were 3.7% and 1.0%, respectively. More significantly, no other channel in 2016 had response rates over 1%! Direct mail response allows it to compete in ROI despite higher costs, coming in third at 27%, close to social media’s 28% (e-mail leads ROI).

Basic Tactics Keep Winning for Direct Mail

Bottom line, direct mail’s evergreen power lies in delivering on direct marketing basics. To that end, industry pros–agencies, data brokers, printers, mailing houses and creative services–still need to guide clients toward success. Rather than exploring the diverse creative and tech-savvy ways to meet direct mail goals, it is easier to focus on a few big mail “don’ts,” and that’s the tack recently taken by Summer Gould of Target Marketing magazine in “5 Things Not to Do in Direct Mail.” Obviously there are more than five missteps out there, but Gould chooses key, highly avoidable pitfalls: a hard-to-read font (yes, point size matters); dishonesty (seeking a sale at the cost of long-term customers and reputation); old, bad data in mailing lists (one of our bugaboos); a missing or unclear call-to-action (a response killer); and a promotional focus on features over benefits (a basic marketing no-no). Direct mail–no matter how loaded with interactive QR codes, variable data printing personalization and multi-channel customer analytics–will miss the mark if it misses on these basics! How B2B and B2C Data Silos Spoil Marketing Harvests

Silos can be great for agricultural storage, but they spell trouble when we’re talking about customer data trapped in company departmental and systems silos. As a data services provider in the age of multi-channel “big data,” AccuList USA certainly has client experiences that attest to the value of integrated marketing data and analysis, and the dangers of data silos.

Data Silos Undermine Big and Small Marketers

Research shows the magnitude of the problem. For example, a recent blog post by Veriday, a digital marketing company, noted that more than 80% of marketers say data silos within marketing obscure a seamless view of campaigns and customers. And that doesn’t even consider data trapped outside marketing in IT, sales, etc. In larger, older companies, many data silos result when outdated processes and separate information systems hamper linkages. Yet silos are not just a big-business issue given the average small business today is using 14.3 different systems, as the Veriday post points out. Yes, information can be transferred between silos via import/export or manual efforts, but this risks duplication, errors, delays, inconsistent hygiene and inaccurate updating. Marketers are likely to face poor immediate ROI and wasted future opportunities from an incomplete and inaccurate picture of customers, campaigns and channel results. Smart marketers will invest in solutions, such as third-party support, software for content management and marketing automation, and data warehousing.

Silos Prevent Personalized B2C Marketing Success

In business-to-consumer marketing, data silo risks are growing more acute, stresses a Forbes magazine article by Denise Persson, CMO at Snowflake, a data warehouse firm. She cites Accenture survey results showing that, while the promise of a deal or discount was the top driver of customer loyalty last year, in 2017, 58% of customers find marketing programs that are highly tailored to their needs much more enticing. As customers demand more personalized marketing, marketers can embrace targeted, contextual approaches using search terms, browser history, etc. But, Persson warns, if each marketing channel–website, social media, e-mail, online ads, direct mail–uses a different set of data to develop a different channel strategy, marketers will end up with a fragmented customer picture delivering a fragmented brand experience! Persson urges centralized storage and analysis to allow for a full line of sight into customer activity; real-time data access and analysis; channel attribution visibility; and tailored loyalty programs.

B2B Silos, Separated From B2C, Miss Audience

Another type of silo can impact business-to-business efforts: isolating business-to-business from business-to-consumer data. A blog post by Ajay Gupta, founder of Stirista, a digital marketing agency, points out the myopia of failing to link business and consumer data, especially now that digital media is blurring the line between professional and personal lives. Gupta gives the example of a company that wants to market a personal electronic device by targeting a proven business prospect list with only B2B e-mail addresses. If the company enhances the prospects’ B2B info with B2C data, it could expand its reach by sending out e-mails to B2C addresses, direct mail to home addresses, online display ads via digital cookies, plus targeted social media ads! Linking B2B and B2C data is a great tool for B2B onboarding, argues Gupta. Since data management platforms match B2C e-mails at a higher rate, linking B2B data to B2C e-mail addresses boosts reach. Creating custom audiences on social media can also benefit from a B2B link to B2C. Since most people use their personal e-mail addresses when they create social media accounts, connecting B2B data to personal e-mails will help reach far more B2B prospects on social media, too. USPS Informed Delivery Injects Physical Mail in Digital Mailstream

The U.S. Postal Service has implemented Informed Delivery, a program that e-mails consumers’ sneak previews of mailing pieces before that mail even lands in their physical mailboxes. The USPS considers the program an innovative “integration of digital and physical mail,” and AccuList USA definitely is intrigued on behalf of our many direct mail list brokerage and marketing services clients. What are the issues for direct mailers?

Integrating Direct Mail and the Digital Lifestyle

Under the USPS Informed Delivery program, consumers can enroll online for free and get a password-protected account that creates a digital mailbox for the direct mail they will later receive at home. Before the mail is physically delivered, it is scanned so that users can log in and see a grayscale image of common-sized mail pieces, such as a #10 envelope or a folded self-mailer. Mailers can complement that digital touchpoint with a color image added below or in place of the grayscale scan, and can add a click-through URL. Even flat-sized mailings (which aren’t scanned) can participate by supplying two custom images and a URL. Now, there may be some in the direct mail business who are nervous about further digital inroads into traditional mail’s marketing space. But it’s self-defeating to ignore the reality that consumers have made digital platforms a part of their daily lives, many looking at digital mailboxes more often than physical mailboxes. And it’s hard to argue against the potential benefits: the ability to use the Intelligent Mail barcode (IMb) to reach target audiences in digital and physical mailboxes simultaneously; potential tracking of when and which e-mails are viewed, and actions taken, to improve personalization and targeting;  and finally, a welcome boost to audience engagement for participating marketers. Per USPS data, there’s a 70% open rate for Informed Delivery e-mails, and 88% of users check their Informed Delivery notifications every day or almost every day.

Scripting for Mail With a Digital Cue

However, Informed Delivery will require some marketing adjustments to successfully inject traditional mail directly into the digital mailstream. Marketers who don’t opt for enhancing with color images will need to consider how images and copy work in grayscale, for example. And all mailers will need to re-think how they use outer mail design both to gain click-through/interaction and to build anticipation for the physical piece–and then the physical piece will still need to deliver ROI. Plus, since many folks view their e-mails on mobile devices, marketers need to think about how their mail translates to mobile viewing. Marketers also need to think through how and why an e-mailed preview fits the target audience. Some industries seem especially suited, and the USPS cites retail, financial services, insurance, government, and telecoms as potential beneficiaries, but other markets may gain less from an advance digital touchpoint. Mail marketers who are interested in testing the program have two ways to submit an Informed Delivery campaign to the USPS–via e-mail using an Excel file or via PostalOne!–and should also check with direct mail vendors about interfaces with presort and post-presort software that allow setup of Informed Delivery campaigns at the piece version level or at the piece detail level.
